How Rent Manager Closes Out a Former Tenant

Rent Manager treats a move-out as a ledger settlement. Its own certification material lays out the order: move the tenant out, apply charges, then refund the deposit (Rent Manager Core Certification guide). Final charges go on before the deposit is settled, which is the order that keeps a balance defensible.

  1. Close out the tenancy with Rent Manager's move-out workflow.
  2. Post the final amounts owed: unpaid rent, fees, damage, utilities and any other charges the lease allows.
  3. Apply the security deposit and other credits against those charges.
  4. Produce the itemized statement and refund any surplus.
  5. Keep the ledger, statement and supporting documents on the former tenant's record.

If charges exceed the deposit, the remainder stays on the former tenant's ledger as a receivable. Nothing erases it automatically when the tenant leaves. What happens next, whether you pursue it, write it off or both, is your decision. Rent Manager's default aging and status behavior for former tenants isn't documented publicly, so we haven't assumed any.

Deposit Itemization Comes First

Rent Manager's built-in deposit management, through its Rentable integration, posts deposit activity straight to the tenant ledger and keeps itemized statements, refund confirmations and audit records on the tenant record. It also tracks return deadlines and supports ACH refunds (Rent Manager security deposits). Rent Manager describes it as a no-cost tool for users in all 50 states. Use it, or something like it, because the deposit deadline is the first thing a former tenant's dispute will test.

Lease terms can't extend these deadlines. In Utah, a landlord who misses the 30 days gets a demand from the tenant and then has five business days to comply. Our guide to security deposits and move-out charges covers deductions and what counts as normal wear and tear.

Write-Offs in Rent Manager

Rent Manager has a bad-debt write-off for outstanding tenant balances. Its Bookkeeping Certification lists "Write Off Bad Debt" as a tested task (Rent Manager Bookkeeping Certification guide). What isn't public: the exact general ledger accounts it hits, the approval workflow, and whether a later recovery automatically reinstates the balance. Those depend on your setup, so confirm them with whoever owns your chart of accounts.

The write-off doesn't end the debt. It's an accounting treatment, and the former tenant still owes the balance unless the owner waives it (our guide to resident ledger terms explains why). The practical rule is the same as on every platform: export the ledger before the write-off posts, or filter it to show the original charges, because that's the document a collector validates against.

Collections Integrations and the Rent Manager API

Rent Manager handles collections through integrations rather than a single documented "send to collections" button. Its in-product marketplace sits under Menu, Administration, Integrations, Available Integrations, where you review a solution and request activation (Rent Manager). Integrations are either built in or connect through the API or file exchange (Rent Manager integrations).

A collections integration with Rent Manager typically does four things: reads tenant, lease and balance data; tracks placement status, often in user-defined fields or notes when there's no native status field; posts recovered payments back as receipts against the open charges; and reconciles each batch. Rent Manager stays the system of record for the ledger, and the collector owns outreach, compliance and payment arrangements. If you're evaluating one, ask:

  • Which charge types and aging buckets make an account eligible?
  • How often are balances refreshed, so nobody collects on an account that already paid?
  • Where does placement and recall status live in Rent Manager?
  • Do payments post automatically or wait for approval, and are partial payments and reversals handled?
  • Is every posted receipt tied to an external transaction ID?

An integration saves keystrokes. It isn't required. Every Rent Manager database can produce a placement file from standard reports.

The Reports to Send a Collector

Rent Manager's financial reports include Aged Receivables, Charge Detail and a Delinquency Report, and its Report Writer supports custom exports (Rent Manager accounting). The Tenant Delinquency Comparison Report can show balances across two periods if you need history (Rent Manager).

Send PDFs to the collector and keep CSV copies for your own reconciliation. The collector will also need an itemization date for the Regulation F validation notice: the last statement date, charge-off date, last payment date, transaction date or judgment date (CFPB, 12 CFR 1006.34). The move-out statement date is usually the cleanest. See our explainer on the Reg F itemization date and our list of documents a collection agency needs.

Recoveries and Owner Statements: Gross or Net?

Post the gross amount the former tenant paid as a receipt on their ledger, applied to the original charges, and record the collector's commission as its own expense. If the account was written off, reverse the write-off only by what was actually recovered. That keeps the tenant ledger right and the general ledger auditable.

What the owner sees is a separate choice. Rent Manager doesn't force gross or net on owner statements; it follows your management fee template and owner statement setup, and owners can see fees and distributions through Owner Web Access (Rent Manager for owners). The clearest presentation is gross recovery, less the collection commission, less or plus your management fee, equals the owner's credit. Decide in writing whether a recovery counts as "collected rent" for your management fee. If it does, charge the fee on the gross recovery. Don't let the commission and your fee silently net against each other. The calculator below shows the difference.

Mixed Residential and Commercial Portfolios

Rent Manager is common in mixed portfolios, and commercial balances need more care than a residential move-out. A former commercial tenant can owe CAM, real estate taxes, insurance and percentage rent on top of base rent, across more than one suite. Rent Manager's commercial module tracks those charges and reconciles them against commercial expenses (Rent Manager).

  • Filter every report by property and legal entity, so each balance is tied to the right owner.
  • Separate base rent from recoveries in the export, with distinct charge types for CAM, tax and insurance.
  • Attach the CAM reconciliation if the balance includes it. A bare aged balance won't survive a dispute.
  • Apply recoveries at the charge level, not as a lump sum to the portfolio.
  • Check the fee base, so a recovered CAM balance doesn't trigger a residential-style percentage fee.

One more distinction: the Fair Debt Collection Practices Act covers consumer debts, so residential balances get Regulation F treatment and commercial balances generally don't. Keep them in separate placement files.

Rent Manager's Size and Who Uses It

Rent Manager, from London Computer Systems in Cincinnati, says it's used by more than 10,000 property management companies (Rent Manager). Rent Manager doesn't publish a unit count. An independent 2026 count puts it at about 5.75 million units (Propexo); an older "5.5 million" figure also circulates but is attributed to another vendor too, so treat any unit number as an estimate. Rent Manager markets itself to portfolios of every size, with a Basic bundle for up to 100 units (Rent Manager), and covers residential, commercial, associations, self-storage and manufactured housing.

Its own tools work on current tenants: Task Automation posts recurring charges and late fees, AR Automation sends email, text and phone notices by delinquency level and logs them to the tenant's history (Rent Manager automation), and Rent Tracker reports rent payments to the credit bureaus (Rent Tracker). None of them find a former tenant who moved without a forwarding address.

Placing Rent Manager Balances With Elite Recovery Group

Elite Recovery Group works from a standard Rent Manager export: the tenant transaction ledger, the move-out statement and the lease are enough to start, with no integration to set up. For how Rent Manager compares with other platforms, see our property management software comparison and the Buildium, AppFolio, Yardi and Entrata guides.

Frequently Asked Questions

  • Does Rent Manager have a send-to-collections button?

Not one that's documented publicly as a native feature. Collections run through integrations activated from the Available Integrations area, or through a standard ledger export sent to a collector.

  • Should I keep sending AR Automation notices after placing an account?

No. Stop your own notices on placed accounts so the former tenant hears from one party. Mixed messages from the property and the collector are a common source of disputes.

  • What if a former tenant pays the property directly after placement?

Post the receipt to their Rent Manager ledger and tell the collector the same day so it stops contact and adjusts the balance. Whether commission is owed on direct payments depends on your collection agreement.

  • How often should I place former tenant balances?

On a fixed schedule, at least monthly, once each account's deposit deadline has passed. Recovery drops as accounts age, and a regular batch keeps the ledger, the write-offs and the collector's file in sync.

  • Do I charge my management fee on a collection recovery?

Only if your management agreement says recoveries count as collected rent. Decide it in writing, set the fee template to match, and don't let the commission and your fee net against each other silently.

  • Can I place commercial tenant balances the same way as residential ones?

Keep them separate. Commercial balances often include CAM, taxes and insurance and need the reconciliation attached, and the FDCPA generally applies only to consumer debts.

  • How many units run on Rent Manager?

Rent Manager doesn't publish a unit count; it reports more than 10,000 property management company customers. An independent 2026 count puts it at about 5.75 million units, which is an estimate, not a company figure.

  • Does Rent Manager report rent payments to credit bureaus?

Yes, through Rent Tracker, which reports rent payments for current tenants. That's separate from collection-account reporting on a former tenant's balance, which a collector handles.
