Buildium's Move-Out Steps
Buildium's recommended order for ending a lease is short, and the order matters for collections (Buildium Help Center):
- Complete the move-out inspection.
- Enter any additional charges (damage, cleaning, unpaid lease charges) on the lease ledger.
- Apply the deposit to those charges.
- Refund any remaining deposit.
- Send the final tenant statement.
- Move the tenant out.
If overdue rent is already on the ledger, Buildium says you don't need a new charge before applying the deposit. Everything after step 5 is collection: the final statement is the document a former tenant, a judge or a collection agency will look at first. Getting the deposit step right is what makes that statement hold up.
How Buildium Handles the Security Deposit
Buildium treats a deposit as a liability until you apply it. Withholding part or all of it turns that amount into income and applies it to open charges on the lease ledger. A full refund is paid from the bank account holding the deposit (Buildium; security deposit lifecycle).
Two details trip up smaller managers:
- Withholding doesn't move money. It's a ledger entry. If the cash has to move between bank accounts, you do that separately under Accounting > Banking.
- Owner-held deposits need an extra entry. When the owner holds the deposit, Buildium's process is to withhold it, record an adjusting entry in the Owner-Held Security Deposits account so the owner isn't paid income they already hold, and record an owner check against Owner Draw equity (Buildium).
Get either wrong and the final statement won't match the ledger, which is the first thing a disputing tenant will point out. The deposit also comes with a legal deadline.
Deposit Deadlines Before a Balance Goes to Collections
Each state sets a deadline to return the deposit or itemize deductions, and the clock runs from move-out, not from when you decide to pursue the balance. Miss it and you can lose the right to keep the deposit, and with it the credibility of the damage charges you are trying to collect. These deadlines don't authorize collections. They come before it.
| State | Deadline | Clock starts | Source |
|---|---|---|---|
| Texas | 30 days | Surrender of the premises; can wait for a written forwarding address under 92.107 | Tex. Prop. Code 92.103 |
| Arizona | 14 business days | Termination, delivery of possession and the tenant's demand | A.R.S. 33-1321 |
| Utah | 30 days | The renter vacates and returns possession; email allowed if the renter gave that method | Utah Code 57-17-3 |
| Oregon | 31 days | Termination and delivery of possession; separate accountings for deposit and prepaid rent | ORS 90.300 |
"Within fourteen days, excluding Saturdays, Sundays or other legal holidays, after termination of the tenancy and delivery of possession and demand by the tenant the landlord shall provide the tenant an itemized list of all deductions..."
Buildium's own content says it can track deposits and support state timing, but checking the deadline for your state and lease is still your job. The calculator below gives a working date for each state. In Texas, also read 92.107: you don't owe the refund or the itemized list until the tenant gives you a written forwarding address (Texas State Law Library). Our guide to security deposits and move-out charges covers what counts as damage versus normal wear.
Pick a state and enter the date the clock started (usually the day the tenant handed back possession). The tool gives a working deadline. It doesn't account for legal holidays or lease terms, so confirm with counsel. Nothing is stored or sent anywhere.
Close the Ledger: Collect It or Write It Off
Buildium's lease ledger guidance is blunt: a properly closed ledger shows either zero or a clearly documented amount sent to collections. Don't leave small balances sitting open; collect them or write them off formally (Buildium). The Delinquent tenants report is where those open balances show up (Buildium Help Center).
We couldn't confirm from Buildium's help center the exact menu path, permissions or accounting effect of marking a balance for collections, so check it in your account before writing it into a procedure. What matters for the collector is simpler: the ledger shows every charge, payment and credit, and the amount sent to collections matches the final statement. Very small balances may not be worth placing at all; our guide on whether landlords should hire a collection agency helps you decide where that line is.
What the Buildium Marketplace Does and Doesn't Tell You
Buildium's Marketplace offers pre-built integrations you can add without coding, and partners get scoped permissions to your data. One collections-related listing, for example, can view units, owners and tenants, transactions and outstanding balances (Buildium Help Center). The fields shared vary by partner, and Buildium's public help doesn't confirm a standard model for any of these:
- Whether placement starts from the ledger, a report or the partner's own portal.
- Whether placement status syncs back into Buildium, and where it shows.
- Whether recovered payments post to the tenant ledger, the property or the owner ledger.
- What you pay: placement fee, contingency, monthly fee or nothing directly.
Ask any Marketplace partner to answer those four in writing. Partner rules can also affect delinquency directly. Buildium documents one flexible-payments partner that charges a $15 late fee regardless of the remaining balance and generally makes delinquent accounts ineligible for future split payments (Buildium). That's a partner rule, not a Buildium-wide feature. If you don't want an integration at all, an export works just as well.
Sending a Buildium Balance to Collections Without an Integration
- Confirm the deposit accounting went out on time, with proof of how and where you sent it.
- Export the lease ledger showing every charge, payment, credit and the deposit applied.
- Save the final tenant statement exactly as sent, with its date.
- Attach the lease, any addenda and guarantor agreement, and the move-out inspection with photos.
- Add contact data: the forwarding address, phone, email, employer and emergency contact from the application.
- Flag disputes and anything that stops collection, such as bankruptcy or an attorney's letter.
- Send it securely, through a portal or SFTP, not as an ordinary email attachment.
The date on the final statement usually becomes the Regulation F itemization date, the starting point a collector must itemize from (CFPB, 12 CFR 1006.34). Our explainer on the Reg F itemization date and our list of documents a collection agency needs cover each item.
Recording a Recovery and Reporting It to the Owner
Buildium doesn't publish how a collections recovery should be posted, so decide it before the first payment arrives. Record it against the original lease ledger, or the written-off receivable, for the gross amount the former tenant paid. Book the collection commission as a separate expense and the net remittance as cash. Then the owner statement shows what was recovered and what it cost.
Coding matters at year end too. A recovered payment coded as rent counts as rent income on the owner's books and may show up in what is reported to the owner for the year, so agree on the charge codes with the owner, or the owner's accountant, before you place the first account. Our guide to how much collection agencies charge helps you set expectations on the commission line.
Small Portfolios: Court, Agency or Write-Off?
Most Buildium users manage smaller portfolios, where the choice is usually between small claims, an agency and writing the balance off. Small claims makes sense when you can serve the former tenant and know of an asset to collect from. An agency makes sense when you can't find them, or when you have more accounts than time. Our comparison of small claims vs. a collection agency runs the numbers, and our guide to collecting unpaid rent after move-out covers the first steps. Deadlines apply either way: see the statute of limitations for rent debt, which can be as short as one year in Oregon.
Placing Buildium Balances With Elite Recovery Group
Elite Recovery Group works from a standard Buildium export: the lease ledger, the final tenant statement and the lease are enough to start, with no Marketplace integration needed. For how Buildium compares with the larger platforms, see our property management software comparison and the AppFolio, Yardi and RealPage guides. If you'd rather hand balances off than chase them yourself, see our collection service for landlords.
Frequently Asked Questions
-
Does Buildium have a built-in collections feature?
Buildium has a Delinquent tenants report and lease ledger tools, and Marketplace partners can connect for collections. Buildium itself doesn't act as a collection agency for former tenants.
-
Can I send a former tenant to collections before sending the deposit itemization?
You shouldn't. Each state's deposit deadline runs from move-out, and missing it can cost you the right to keep the deposit and weaken the damage charges you're trying to collect. Send the itemized statement first.
-
Is Buildium owned by RealPage?
Yes. Buildium is a RealPage company, but it runs as a separate product for smaller and mid-size portfolios, with its own move-out workflow and Marketplace.
-
What should a Buildium lease ledger show after a tenant moves out owing money?
Either zero or a clearly documented amount sent to collections. Buildium's guidance is to collect the balance or formally write it off rather than leave it open.
-
Can I email the deposit itemization in Utah?
Yes, if the renter provided that delivery method. Utah Code 57-17-3 allows electronic delivery of the deposit balance and itemized deductions in that case.
-
When does the Texas deposit deadline start if the tenant leaves no forwarding address?
Under Texas Property Code 92.107, you aren't required to refund the deposit or send the itemized list until the tenant gives you a written forwarding address. The 30 days then apply.
-
Is it worth sending a small balance to collections?
It depends on the balance, the documentation and whether you can find the tenant. Very small balances may cost more to chase than they return; compare small claims, an agency and a write-off before deciding.
-
Does Elite Recovery Group need a Buildium integration to take placements?
No. Elite Recovery Group works from a standard Buildium export: the lease ledger, the final tenant statement and the lease are enough to start.
